Events Specialist
The Events Specialist is responsible for coordinating all aspects of client events in the Northeast offices and assisting with internal events as needed.

Greenberg Traurig, a global law firm, currently has an excellent full-time opening for an Events Specialist in our New York City Office.  The Events Specialist is responsible for coordinating all aspects of client events in the Northeast offices and assisting with internal events as needed. The specialist will also coordinate firm-wide events and support the firm-wide events manager as needed with minimal direct supervision. 

Duties and Responsibilities

  • Plan, implement and execute all aspects of marketing and business development events
    • Liaise with attorneys, clients, vendors and professional staff throughout the firm
  • Develop event strategy and identify event goals in coordination with attorneys
    • Identify target audience
    • Help develop event messaging
  • Identify and negotiate sponsorship opportunities, securing strategic benefits and favorable contract terms; deliver on contract obligations (speakers, signage, materials, give aways, speakers, etc.)
  • Identify, negotiate with and secure venues and other vendors. Secure cost-sensitive pricing
  • Track and maintain event budgets
  • Draft invitations and event collateral with the graphics team.
  • Use event management software to distribute invitations and track RSVPs
  • Interact with firm clients when handling responses, greeting or developing a program (i.e. clients who are speakers or co-sponsors)
  • Schedule, supervise and train on-site events staff
  • Maintain and improve firm-wide events calendar. Train all users and monitor accuracy of entries
  • Track inventory for promotional items
  • Manage schedule for tradeshow booths and table top displays for firm wide events.
  • Assist attorneys firm wide with client dinners in NYC in regard to selecting appropriate venue, booking the space and picking a menu
  • Assist with other projects as needed


Specific Requirements

Skills & Competencies

Excellent writing skills, oral communication, organizational skills and attention to detail are required. Ability to learn quickly is essential. Must be a self-starter, diligent and able to work as part of a team. This candidate must be flexible, innovative, collaborative, resourceful and creative. Critical thinking skills are important. Polished presentation and interpersonal skills are necessary.

Qualifications & Prior Experience

  • College degree required
  • Minimum 4-5 year of hands-on events planning
  • Experience in a law firm or other professional services environment preferred
  • Strong computer skills with proficiency in Word, Excel and PowerPoint, Event Management software such as Concep, and ability to learn new programs
